Christmas Gift List: Track Gifts and Spending (2026)

By Cedar & Ledger

A Christmas gift list does two jobs: it stops you forgetting someone, and it stops the total from creeping past what you planned. This guide shows a simple gift list with a cap for each person and a running total, using example numbers you can swap for your own.

Every dollar figure here is a made-up example to show the math, not a recommendation of what to spend. This is general information, not financial advice.

Quick checklist

Want the totals to add up for you? See how to build a Christmas budget spreadsheet in Google Sheets or Excel.

Step 1: List every person, including the small gifts

Start with family and close friends, then add the ones that are easy to forget: teachers, coworkers, a gift exchange, hosts, and stocking stuffers.

Step 2: Give each person a cap

Set the cap from your total gift budget, not from what you hope to find. If you have not picked a total yet, How Much to Spend on Christmas per Child or Person walks through it.

Example (made-up numbers):

Person Cap
Child 1 $90
Child 2 $90
Partner $60
Parents (together) $40
Sibling $25
Teacher gifts (2 × $10) $20
Office exchange $15
Total $340

Step 3: Track ideas, then actual spending

Use four columns: person, idea, cap, and paid. Write the paid amount the day you buy, including shipping and tax.

Example (made-up numbers): Child 1 cap $90. You pay $54 for one gift and $29 for another, plus $6 shipping = $89 paid, $1 under.

Step 4: Keep a running total

Add up the paid column each week. Compare it with the total of the caps for the people you have already shopped for.

Example (made-up numbers): Shopping done for both children and your partner: caps $240, paid $252. You are $12 over, so trim $12 from someone still on the list, for example the sibling cap from $25 to $13, or move $12 from wrapping.

Step 5: Leave room for the extras

Wrapping, cards, shipping and last-minute gifts add up. Keep a small line for them so they do not come out of January's bills. How to Plan Holiday Spending and Still Cover January covers that check.

Tools that help

The printable Christmas Planner & Budget 2026 ($5) has a gift list with caps and a paid column, a budget page, a card list and a holiday countdown, in US Letter and A4. Prefer a spreadsheet? The Holiday Gift Budget totals everything for you.

Shopping the sales? Black Friday Budget: Make a Plan Before the Sales shows how to keep deals inside your caps. Hosting too? See Christmas Dinner Budget.

Common questions

Should every child get the same amount? Many families do it so it feels fair, but it is your call. What matters is that the total fits.

What if I find the perfect gift over the cap? Buy it if you can take the difference from another line on the list, and write the change down so the total stays true.

When should I start the list? As early as you can. An early list spreads purchases over more paychecks and leaves time to watch for sales. In a gift exchange too? Secret Santa Budget shows how to count each one.

Prefer paper? The holiday printables checklist covers what to print and when.
