Free Freelance Project Quote Calculator
Turn an hours estimate into a flat project price. Add a buffer for the time projects usually run over, pass on any expenses, and see how much to ask for up front as a deposit.
It runs in your browser. Nothing you type is saved or sent anywhere. The numbers filled in below are a made-up example; change them to yours.
How the math works
- Buffered hours = estimated hours × (1 + buffer %).
- Quote = buffered hours × hourly rate + expenses.
- Deposit = quote × deposit %. The balance is what's left.
Example (made up): 18 hours with a 15% buffer is 20.7 hours. At $50 an hour that's $1,035 of labor, plus $60 of expenses, for a $1,095 quote. A 50% deposit is $547.50 up front and $547.50 at the end.
Write down what the price includes (number of revisions, deliverables, deadline) so extra requests can be quoted separately. This is general information, not legal or tax advice.
Invoice it and track who's paid
The Freelancer Invoice + Client Tracker ($9) is a spreadsheet with a printable invoice (pick a client and their details fill in), an invoice log that marks each one Paid, Open or Overdue with days late, and billed, paid and outstanding totals per client. Works in Excel and Google Sheets.
