Wedding Budget Breakdown: Where the Money Goes

By Cedar & Ledger

Many couples get engaged over the holidays and start planning in January. Before you tour a single venue, split your total into categories so every quote has a clear "yes" or "no" number.

Example numbers below are made up. Use your own.

Quick checklist

Step 1: Start with the total, then the guest list

The guest count drives the venue, food, drinks and rentals, which are usually the largest part of the budget. Cutting 20 guests often saves more than any single vendor discount.

Step 2: Split it by category

A common starting split (adjust to what matters to you):

Category Share (Made-up example, $15,000)
Venue, food and drinks 45% $6,750
Photo and video 12% $1,800
Attire and beauty 8% $1,200
Music or DJ 7% $1,050
Flowers and decor 8% $1,200
Rings 5% $750
Stationery, favors, gifts 5% $750
Buffer for extras and fees 10% $1,500
Total 100% $15,000

Step 3: Compare quotes the same way

Ask each vendor what's included, hours, travel fees, tax and service charges. Put the quotes side by side; the cheapest headline price isn't always the lowest total.

Step 4: Track deposits and due dates

Most vendors take a deposit to book and the rest a few weeks before the date. One payment schedule shows how much you need each month, so nothing lands on the same payday.

Step 5: Keep the buffer

Overtime, alterations, tips and last-minute rentals show up in almost every wedding. Leave the buffer alone until the final month.

Tools that help

The Wedding Budget Planner printable has a category budget, guest list, vendor quote comparison, payment schedule and a 12-month checklist. Prefer a spreadsheet that does the math? See the Wedding & Event Budget Planner.

Common questions

What's the biggest wedding expense? Usually the venue, food and drinks together, which scale with the guest count.

How much buffer should we keep? About 5 to 10% of the total is a common starting point.
