Secret Santa Generator: How to Draw Names Fairly
A Secret Santa generator does one job: give every person exactly one other person to buy for, so nobody draws their own name and nobody is left out. You can do it with paper slips, a free website, or a spreadsheet. Here is how each works, what usually goes wrong, and how to fix it.
What a good draw needs
- Nobody draws themselves. The classic hat draw fails this often, and someone has to quietly redraw.
- Everyone gives once and gets once. One closed loop, no one missed.
- Exclusions. Couples, roommates or siblings who already buy for each other shouldn't match.
- Privacy. Each person sees only their own match, not the whole list.
- A record for the organizer. If someone forgets who they have, you can look it up without redrawing.
Option 1: Paper slips (small groups)
Write each name on a slip, fold, and draw. If someone pulls their own name, everyone puts their slip back and you draw again. This works for 4–8 people in one room. It breaks down for remote groups, exclusions and anyone who forgets their name in December.
Option 2: A free online generator
Most free sites email each person their match. They're quick, but you share everyone's email address with a third party, and many sites don't let you add exclusions or see a backup list.
Option 3: A spreadsheet draw (no emails needed)
A spreadsheet can do the draw for you. A simple, reliable method:
- List everyone in one column.
- Shuffle the list with a random number (or a "draw number" you pick).
- Each person gives to the next person on the shuffled list; the last gives to the first.
Because it's one loop, nobody can get themselves and everyone gives and gets exactly once. Check the exclusions: if a couple ends up matched, change the draw number and the whole list reshuffles.
Example: 6 people with one couple
Names: Ana, Ben, Cara, Dev, Eli, Fay. Ana and Ben are a couple. Shuffled order: Cara, Ana, Eli, Ben, Fay, Dev. Matches: Cara → Ana, Ana → Eli, Eli → Ben, Ben → Fay, Fay → Dev, Dev → Cara. Ana and Ben aren't matched, so the draw stands.
Tell people their match privately
- Print one slip per person and hand it over folded.
- Or text each person only their own match.
- Keep the full list for yourself in case someone forgets.

Tools that help
The Secret Santa Gift Exchange Kit has printable sign-up sheets, wish lists and tags. For the draw itself, the spreadsheet below does steps 1–3 automatically for up to 40 people.
Common questions
Can a generator handle couples? Yes, if it has an exclusion list. If not, redraw until no excluded pair matches.
What if someone drops out after the draw? Remove them, and the person who had them now gives to whoever they were buying for.
Is an odd number of people a problem? No. A single loop works for any group of 3 or more.
Drawing names? The Secret Santa Name Draw Generator spreadsheet ($5, Excel + Google Sheets) draws up to 40 names so nobody gets themselves. Or get all three holiday spreadsheets in the Holiday Spreadsheet Bundle ($12, save $3).

Frequently asked questions
What does this guide cover?
How a Secret Santa generator works: one loop so nobody draws themselves, exclusions for couples, private matches, a worked example and a spreadsheet draw.
Do I need a template to do this?
No. A notebook or a sheet you build yourself works fine. Cedar & Ledger also sells spreadsheet templates (I'd earn from a purchase); see the template box at the top of this page.
Is this financial advice?
No. It's general information with example numbers only, not financial, tax, legal or medical advice. Use your own numbers and check anything important with a qualified professional or the official source.
