How to Track Car Detailing Jobs, Payments and Taxes
By Cedar & Ledger
Detailing money comes in many sizes: a $40 express wash, a $250 full detail, a ceramic coating that takes a whole day, plus add-ons, travel fees and tips. Some customers pay on the spot, some by app, some later. A simple routine keeps track of it without eating your evenings.
Log every job the same day
- One row per job: date, client, package, base price, add-ons, travel fee or tip, and how they paid.
- Keep add-ons separate from the base package. They're often your best margin, and you'll want to see how often they sell.
- If they haven't paid yet, mark it Unpaid. Change it when the money arrives.
- Write down card and app fees. A few percent on coating and correction jobs adds up fast.
Know who owes you
- Check your unpaid list once a week, on the same day.
- Send one friendly reminder with the job, the date and the total, not a vague "you owe me."
- For long jobs like paint correction or ceramic coating, consider taking a deposit when they book.
See what a week (and a month) really made
- Add up jobs, base revenue, add-ons and fees for the week.
- Subtract your fixed costs (insurance, phone, booking app, van or trailer payment) so rainy, slow weeks show up honestly.
- Look at revenue by package and count repeat customers. It shows which services to push and who's worth a maintenance-plan offer.
Keep expenses and set aside for taxes
- Common costs: insurance, chemicals and supplies, towels and pads, equipment and repairs, water and power, apps, phone, van gas or mileage and marketing.
- Keep receipts and log business miles if you're mobile. Equipment like pressure washers, extractors and polishers may be deductible too.
- If you're self-employed in the US, you may owe quarterly estimated taxes. Setting aside a fixed share of profit (many people use 25-30%) avoids a big April bill. Check current IRS guidance or a tax professional.

Track detail packages and add-ons, who still owes you, chemicals and equipment costs, and set aside money for quarterly taxes.
Do I need a template to do this?
No. A notebook or a sheet you build yourself works fine. Cedar & Ledger also sells spreadsheet templates (I'd earn from a purchase); see the template box at the top of this page.
Is this financial advice?
No. It's general information with example numbers only, not financial, tax, legal or medical advice. Use your own numbers and check anything important with a qualified professional or the official source.
