How to Track Personal Training Clients, Packages and Pay
By Cedar & Ledger
Independent trainers get paid in lumps: a 10-pack today, nothing for the next three weeks of sessions. Without a simple log it's easy to lose track of who has sessions left, what you really earned, and what you owe in taxes.
Log every session the same day
- One row per session: date, client, session type, amount, tip and how they paid.
- Log a package sale once, with the price and the number of sessions. Log each session after it at $0, with "Package" as the payment.
- Write down card fees. A 2.9% fee on a $1,080 package is about $31 you never see.
Track sessions left for each client
- Sessions left = sessions bought - sessions used. Check it weekly.
- Remind a client to renew when they have 2 sessions left, not after the last one.
- Note the last session date. A client who hasn't booked in three weeks is worth a check-in.
- Decide in writing what happens to unused sessions (expiry, transfers), and tell clients when they buy.
Know what a week really paid
- Count income when the money comes in. A package sale is income that week, even though you'll work the sessions later.
- Subtract your gym or studio fee every week you train there, even slow weeks.
- Compare what you kept with a weekly goal so a slow stretch shows up early.
Keep expenses and set aside for taxes
- Common costs: gym or studio fees, certification and CEUs, liability insurance, equipment, apps, marketing and work clothes.
- Keep receipts and note the business purpose.
- If you're self-employed in the US, you may owe quarterly estimated taxes. Setting aside a fixed share of profit (many people use 25-30%) avoids a big April bill. Check current IRS guidance or a tax professional.
If you want a spreadsheet
The 2027 Personal Trainer Client & Session Tracker does all of this in Excel or Google Sheets: a client log, sessions left per client with renew reminders, expenses, weekly income against your gym fee, and a quarterly tax set-aside.

Track personal training sessions, package balances, gym fees and expenses, and set aside money for quarterly taxes.
Do I need a template to do this?
No. A notebook or a sheet you build yourself works fine. Cedar & Ledger also sells spreadsheet templates (I'd earn from a purchase); see the template box at the top of this page.
Is this financial advice?
No. It's general information with example numbers only, not financial, tax, legal or medical advice. Use your own numbers and check anything important with a qualified professional or the official source.
